Position Summary
Provide office management support for one of the company’s regulatory affairs offices. Provide accurate and timely administrative support services to personnel, including staff, analysts, managers, and regulatory attorneys. Develop, monitor and report on the department budget. Assist in preparation and/or file both public and confidential (paper and electronic) regulatory filings and distribution of documents with governmental agencies, as needed. Plan, organize, and control records/information/files in order to provide records management expertise for regulatory operations.
Essential Responsibilities
- Support the day-to-day operations of a multi-jurisdictional regulatory administration office by Providing administrative support to the department, including: scheduling meetings, coordinating travel arrangements, making copies, ordering supplies, etc. Provide timekeeping and payroll support for staff. Maintain regulatory files. Maintain confidential information. Provide support for physical facilities including contact with building management and lease arrangements, computer network backups and related systems, and maintenance of and office supplies and equipment.
- Perform word processing of various departmental materials (tariffs, correspondence, reports, tables, contracts, proposals, business plans) and other related materials. Develop and produce visual materials (such as graphs, charts, transparencies, and exhibits for regulatory filings).
- Coordinate and track department and project budgets. Monitor expenses and monthly budget reports to ensure department goals are being met. Provide regular budget reports to department leader. Prepare and input budget revisions.
- Compose, design, edit, and prepare various correspondence, documents and reports for the department (including spreadsheets, contracts, proposals, business plans). Including creating and editing legal documents. Develop and produce visual materials (such as graphs, charts, and exhibits) for regulatory filings.
- Process and file various regulatory filings/reports with governmental agencies, including paper and electronic filings. Prepare and notarize affidavits for confidential filings. Assist in making large mailings related to case filings and discovery responses.
- Develop and maintain a system for managing regulatory case files, including use of electronic filing systems to store and retrieve documents such as testimony, orders, discovery and discovery responses, and related pleadings. Provide expertise to all areas of the regulatory organization in managing jurisdictional information, setting up files, maintaining current files, and making information available upon request in a timely manner.
- Maintain jurisdictional tariff books, ensuring that tariffs are current and distributed to internal customers. Tariff maintenance includes entering updates to tariffs on internal and external web sites, and making changes to electronic tariff files to ensure they are current.
- Other duties as may be assigned.
Minimum Requirements
- High school diploma or equivalent, and 3-5 years of experience in administrative support services or an equivalent combination of education, training, and experience.
- Must be proficient in the use of PC software such as Microsoft Office, Adobe, and be capable of learning new computer systems.
- Must be able to function independently with minimal on-site supervision.
- Experience in government, regulatory affairs or legal environment and knowledge of company practices and procedures preferred.

The anticipated starting base pay for this position is: $19.80 to $27.66 per hour
