Position Summary
The Contract Administrator for the Consultant Management Team (CMT) and other key groups such as Project Management, Siting and Land Rights, ISP, and SPE is responsible for supporting the management of consultants performing engineering and design services for Substation and Transmission line projects. This role ensures all contract and purchase order (PO) processes are executed efficiently, enabling project teams to focus on technical delivery and project leadership.
Essential Responsibilities
Understand and correctly apply the criteria within the organization's preferred procurement system. Provides analysis, benchmarking and corrective action recommendations to Company management and contractor leadership.
Thoroughly understands and applies available company systems for monitoring contractor performance, cost analyses and productivity evaluation.
Complete responsibility for Company's preferred procurement system and invoicing process, including system set up and maintenance, contractors' data entry, invoice generation and approval and the financial postings associated with invoices.
Establishes and enhances effective working relationships with business partners/contractors.
Clearly communicates contract goals and performance expectations to contractors and company personnel. Identifies gaps in performance. Identifies opportunities for performance improvement.
Assess and effectively resolves complex issues related to contractor field and invoicing performance.
Monitor invoice close out process to ensure timeliness and accuracy. Identify discrepancies resolve variances.
Performs audits of work to ensure material, work performance, and charges accurately reflect invoiced amounts. Meet consistently with management and the service provider to review contractor performance.
Minimum Requirements
High School Diploma or GED
5 years experience in gas or electric or equivalent experience in business environments in coordinating, validating and overseeing procurement processes.
Excellent technical skills including Microsoft Office applications, written and oral communications.
Preferred Characteristics
Experience with SAP, ProjectWise and contract management systems.
Strong organizational, communication, and leadership skills.
Ability to work independently and collaboratively with technical and non-technical stakeholders.
Experience in transmission and substation operations or utility field/engineering processes.
Familiarity with consultant management team.
Advanced proficiency in project coordination and process improvement.
