Lead Document Control Specialist

Position Summary
This position coordinates, assigns, and monitors overall daily and project related activities of the regional Engineering Document Services (EDS) group. Oversees quality customer service and ensures the consistent and uniform use and implementation of standardized company formats, policies, processes, procedures, tools, systems, and standards in addition to adherence to state and FERC requirements.
Essential Responsibilities
- Leads the regional EDS group personnel in providing on-time and on-budget administrative support in relation to drawing and document management. Proactively communicates with Supervisor, Engineering Document Services to manage employee issues. Provides input and may partner with Supervisor for employee selection, performance review, encourage employee development and to coach/counsel employee performance. Coordinates, documents, and ensures quality control in training new personnel in EDS. Assists in the coordination of all new employee's drawing and document control orientation.
- Responsible for project controls in relation to consistency and quality control for the following: collection, entry, access, and distribution of project deliverables.
- Serves as drawing management representative in project meetings and coordinates with Project Managers on project related activities. Proactively communicates with Project Managers to establish guidelines for project specific deliverables and project closeout.
- Serves as drawing management representative with regional/jurisdictional plants and coordinates with Plant staff on engineering drawing and document related activities. Support verification of onsite engineering document accuracy through audits. Proactively communicates with Plant staff to provide quality customer service.
- Responsible for the establishment, quality and maintenance of Xcel drawing and document files. Collaborates with Management, Project Managers, Engineers, Designers, Drafters, and Plant personnel in all aspects of drawing and document control. Responsible for submitting updates for review to EDS policies on an as needed basis for continuous improvement.
- Utilizes excellent interpersonal skills in maintaining balance with all parties' requirements and priorities. Applies effective listening techniques when coaching group members. Demonstrates professional and ethical behavior in all business relationships. Demonstrates the ability to assist and instruct others with various administrative operations to achieve goals.
- Demonstrates ""super user"" capability in ProjectWise and experience with Documentum and Sharepoint. Able to work on several projects simultaneously, demonstrating excellent organizational skills. Ability to manage high levels of urgency and high attention to detail.
Minimum Requirements
- High School diploma.
- Four or more years administrative experience in an engineering, construction, technical or business environment with document management responsibilities.
- Experience with Microsoft Office Suite applications required.
- Overtime may be required.
- Job assignments may require working at various project sites.
Preferred Requirements
- Some supervisory experience desired.
